Job Opportunity – 

Recruitment of Operations Assistant for the IJCC 

 

The Ireland Japan Chamber of Commerce (IJCC) is a thriving and growing membership community of over 150 business leaders that promote the interests of Irish businesses in Japan and Japanese businesses in Ireland and encourages the development of commerce between the two countries. To meet growing demand, the IJCC is recruiting an Operations Assistant to support the daily management of the Chamber. This role is currently open to part-time applicants, but there is potential for increased hours as the membership grows. Salary would be commensurate with experience. This role is offered on an initial 1-year fixed term contract with opportunity for renewal based on performance. 

 

Roles and Responsibilities: 

The successful candidate will be supporting the following day-to-day operations of the IJCC under the guidance of the Operations Manager: 

  • Managing Chamber membership administration tasks, including invoicing, membership onboarding/offboarding processes 
  • Tracking monthly income and expenses from the Chamber and following good bookkeeping practices 
  • Supporting event administration such as invoicing, creating registration forms and writing event descriptions 
  • Assisting Operations Manager in management of monthly board meetings 
  • Additional assistance in other areas may not be listed as needed by the Operations Manager 

 

This is an excellent opportunity for a proactive, independent individual to work in an environment interacting with high profile Irish and Japanese business leaders. 

 

This role would particularly suit a dynamic, highly motivated person with initiative who can thrive in working without daily supervision. 

 

The role combines the flexibility of working from home with the ability to be part of a welcoming office environment in the Embassy of Ireland to Japan. The person will be required to be based in Tokyo or able to travel frequently to Tokyo. 

 

Qualifications 

To carry out the above responsibilities, the successful candidate would ideally possess the following attributes:  

  • Ability to work individually and proactively 
  • Ability to manage time and effectively work to deadlines 
  • Strong attention to detail and professional presentation skills (written and oral) 
  • Good communication and interpersonal skills 
  • Written and spoken proficiency in English and Japanese 
  • Office administration experience and basic accounting skills 
  • Experience with Microsoft Office, particularly Excel and Outlook 
  • Can commit to a minimum of 10 hrs/week 
  • For candidates who are foreign nationals, the following visa type is required in order to apply for this position (“Engineer specialist in humanities and international services”) 
  • The IJCC is unable to provide visa sponsorship for this role at this time 

 

Preferred Skills 

  • Business level proficiency in English and Japanese 
  • A familiarity with the Japanese and international business environments 
  • A familiarity with Ireland and Ireland-Japan relations would be a bonus 
  • Accounting or business-related background
